Restive partnered with a leading workforce management platform that helps organisations streamline the way they recruit, engage, and retain volunteers and staff. Trusted by global brands and major events, the platform simplifies complex workforce operations, enabling teams to deliver seamless, scalable experiences across every stage of the employee and volunteer journey.

We worked with the client to modernise both their technology stack and their user experience. Leveraging our hybrid team across Australia and Malaysia, we combined local expertise with offshore speed to deliver a migration to Google Cloud and a complete redesign of the volunteer and admin experiences. The platform can now support major international events and enterprise clients with greater reliability, scalability, and usability.

The problem

The platform’s customer-facing and admin portals had become outdated, with usability issues affecting volunteers and administrators alike. At the same time, a cost-efficient, future-proof infrastructure was needed to serve growing global demand.

Restive worked across strategy, delivery, leadership, design, and development, delivering value through three major initiatives, including the redesign of the volunteer and admin experiences, as well as the implementation of a new accessible design system.

Initiative 1: Volunteer management portal redesign

We designed, user-tested, and delivered a fresh, mobile-friendly volunteer platform.

Key improvements included:

      • A unified dashboard for quick visibility of upcoming shifts, role applications, training progress, and event exploration.

      • A shift calendar that lets volunteers discover and sign up for shifts in just a few taps.

      • Streamlined role application and shift selection with fewer steps and clearer guidance.

      • Enhanced event pages with richer information and improved filtering.

      • Built-in tools to complete training modules and earn rewards, encouraging ongoing participation.

This overhaul created a modern, intuitive experience that allows volunteers to manage their commitments on the go.

Initiative 2: Accessible design system

To support long-term scalability, we built an accessible design system that centralises UI components, colours, and typography. This foundation reduces design and development duplication, ensures consistent WCAG-compliant patterns, and accelerates the rollout of new features across both volunteer and admin products.

Initiative 3: New admin portal

The admin experience was rebuilt from the ground up using the new design system to ensure consistency and accessibility. Our work focused on:

      • Mobile usability, allowing event organisers to manage shifts and volunteers from any device.

      • Improved filtering and search, making it faster to locate specific volunteers, roles, or events.

      • Streamlined shift management, simplifying the creation, assignment, and tracking of shifts.

      • Applying the new design system for a clean, modern interface and a cohesive experience across all admin tools.


This approach refreshed the existing portal while removing friction for administrators managing large-scale events.
